Efficient document management with TAM and Vision
You’ve always had it. Now, it’s even better--at no added cost.
You always had the ability to organize and maintain all paper and electronic correspondence within TAM and Vision. Now we’ve added a cost-free bar coding element to make it even more efficient.
Without leaving their desks or launching a different program, everyone in your office can be only a few clicks away from seeing information that used to be held up in the paper file. TAM 8.0 and Vision 4.0 include a bar coding enhancement to the batch scanning feature of the document management function. You no longer have to treat each account’s paper as a separate scanning job. Now, you can scan all the day’s paper as a single batch. The system parses the information and automatically attaches it to appropriate accounts. A bonus: The system automatically creates associated activities for drill-down purposes.
If you use back-end scanning, this enhancement dramatically improves the process by eliminating the need to locate and attach images to the correct account from the unrouted folder.
If you scan on the front end, the workflow does not change unless the person responsible for scanning wants to batch the paper and allow the CSR to work directly from the attachment and/or activity list.

Why you don’t need separate doc management software
You might think you need a third-party document management system in addition to TAM or Vision. In fact, the separate software only increases your product and maintenance costs and requires additional training.
Further, third-party document systems might integrate now with TAM or Vision, but will they in the future? Some third-party solution providers are already making changes that might not allow this integration. Why take the chance? Applied Systems is committed to investing in development to continually improve document management features in TAM and Vision.
TAM 8.0 and Vision 4.0, in-house and online, provide for batch scanning and automatic routing, a simple combined solution that:
- is cost-free
- requires very little training
- improves and supports your current scanning process

Does doc management in TAM and Vision really save time and money?
“Printing a bar code takes only a few seconds per document, then the batch scanning feature in our broker management system pretty much does the rest,” said Russ Tench, owner of R.J. Tench Insurance Brokers Ltd., in Liskeard, Ontario. “We find the time it takes to attach each document is reduced by about half over how long it took to attach the paper document prior to bar coding.”
Tench also appreciates the personnel efficiencies. “When we started using batch scanning, we found we could have a junior employee do the scanning and attaching to customer files in TAM,” Tench said. “Our CSRs immediately found time savings, as electronic images are always at their fingertips to be updated, faxed, or emailed.”
“We did not incur any cost in implementing bar coding, since we already had a multi-page scanner,” Tench said.
Elaine Mustari of Twin City Group in Minneapolis, Minnesota, says: “This allows the CSR to focus on servicing customers, not being required to handle clerical tasks. With the new feature, the person scanning doesn’t necessarily need to know anything outside of how to scan in the paper.”
Further, Mustari likes the insurance that items are attached to the right accounts and that all information is located in the agency management system.
“TAM has everything we need,” Mustari said, explaining why her agency uses TAM for document management and does not use a third-party system. “We prefer to have all our information in a single system. CSRs only need to look in one place to see everything they need to service the account.”
